How invoicing works in FIZ

Every sale needs an invoice reported to AT. A mistake or a late report means a fine.

  1. Issue the invoice

Choose the customer and the items. FIZ calculates the totals (with IVA, if you are under the normal regime) and numbers the document in the right series, registered with the AT.

Add customers and items by hand or import them from your previous software’s SAF‑T, Excel or CSV. Customers also come in from Portal das Finanças.

    Start using FIZ today
  2. Reporting to AT

Automatic: FIZ reports each invoice in seconds, as you issue it.

    or (your choice)

Manual: export the SAF‑T, the file with the month’s invoices, from FIZ and upload it to e‑Fatura, AT’s invoice portal, by the 5th of the following month.

  3. The customer receives the invoice

FIZ sends the invoice to the customer by email, with your logo. You can also share it on WhatsApp or print it on A4 or on a receipt roll.

Types of invoicing documents: which one to use?

Pick what you need to do and see what each document is for.

Issue an invoice

Invoice

Fatura · FT

Records the sale of goods or services, including advance payments. It does not itself prove payment.

IVA on an unpaid invoice

Under the normal IVA regime, the invoice’s IVA goes into the declaration for the period you issue it, even if the customer has not paid. Under IVA de caixa (only sales to businesses and self-employed professionals), it counts when you are paid or, if unpaid, in the 12th month after the invoice date.

AT: IVA de caixa

Invoice-receipt

Fatura-recibo · FR

An invoice and proof of payment in one document, when the customer pays straight away.

Simplified invoice

Fatura simplificada · FS

An invoice requiring fewer customer details.

When you can issue a simplified invoice

For transactions in Portugal:

  • Up to €100: goods and services.
  • Up to €1,000: goods sold by retailers or street vendors to private customers.
  • No amount limit: if you are exempt from IVA under Article 53 of CIVA (small businesses).

The customer’s name and address are optional. The customer’s NIF is required if they are a business or a self-employed professional (an IVA taxable person), or if a private customer asks for it.

Payment receipt

Recibo · RG

In FIZ, a receipt (recibo) is issued for an invoice and confirms payment. You can send its PDF to the customer.

Correct an invoice

Invoice cancellation

Anulação

In FIZ, you can cancel a whole invoice, without a credit note, within the quarter in which it was issued. If it was already sent, let the recipient know.

Credit note

Nota de crédito · NC

Reduces the amount of an earlier invoice: in part or, after the quarter in which it was issued, in full. The original invoice is retained.

Prepare a proposal

Commercial proposal

Proposta comercial

The goods or services you offer the customer, the price and the terms. Send it as a link or PDF and, once the customer accepts, issue the invoice from it.

Estimate

Orçamento · OR

The price worked out with quantities, materials and labour hours. Common in construction, workshops and installations.

Pro forma

Pró-forma · PF

An invoice in advance, to agree the amounts and details before the sale: for an advance payment, a tender, customs or the customer’s bank. It gives no right to deduct IVA.

They are not mandatory. If you show them to the customer, they must come from certified software: in FIZ, the estimate and the pro forma carry an ATCUD (the unique document code) and a QR code and are reported to the AT. None replaces the invoice or proves payment; you can issue the invoice from any of them in FIZ.

Record an order or a job

Order

Nota de encomenda · NE

Confirms to the customer what they ordered, the quantity and the deadline. Common in trade, manufacturing and business-to-business sales.

Work order

Folha de obra · FO

The work done, parts, materials and hours, before the final invoice. Common in workshops, repairs and building work.

They are not mandatory. If you show them to the customer, they must come from certified software: in FIZ, they carry an ATCUD and a QR code and are reported to the AT. None replaces the invoice or proves payment; you can issue the invoice from any of them in FIZ.

Restaurants and cafés

Table bill

Consulta de mesa · CM

The bill a restaurant or café shows the customer before the invoice.

It is not mandatory. If you show it to the customer, it must come from certified software: in FIZ, it carries an ATCUD and a QR code and is reported to the AT. It does not replace the invoice or prove payment; you can issue the invoice from it in FIZ.

Sell on consignment

Consignment note

Guia de consignação · GC

A record of goods handed to a reseller (consignatário) to sell. IVA becomes due when the reseller sells them, or after one year if they are not returned.

Consignment invoice

Fatura de consignação · FC

Issue it within 5 working days of sending the goods to the reseller (consignatário), marked «mercadorias à consignação». It is mandatory for consignment sales (art. 38 of the CIVA).

Consignment credit

Crédito de consignação · CC

Cancels all or part of the consignment invoice for goods the reseller returns unsold.

The consignment invoice and credit carry an ATCUD and a QR code, and FIZ reports them to the AT. When the reseller sells the goods, or does not return them within a year, issue the sale invoice in FIZ, referring to the consignment invoice. The consignment note is on paid plans.

Transport goods

Transport document

Guia de transporte · GT

A document accompanying goods during transport.

Dispatch note

Guia de remessa · GR

A record of goods dispatched to the recipient.

Return note

Guia de devolução · GD

A record of goods returned to the supplier.

Own-assets movement note

Guia de ativos próprios · GA

A record of company-owned goods moving, for example, between its warehouses, without a sale.

Transport documents are available on paid plans.

Invoices and recibos verdes: which document to issue and when

The rules are the same for companies and the self-employed.

What are recibos verdes?

It is what the self-employed call their documents. The old electronic recibo verde on Portal das Finanças is now called a fatura-recibo, and in FIZ you issue it like any invoice.

Fatura or fatura-recibo: which to issue?

If the customer pays straight away, issue a fatura‑recibo that day. If they pay later, issue a fatura and then a recibo when the payment arrives.

By when must the invoice be issued?

Generally, no later than the fifth working day after providing the service or making the goods available. If you receive an advance payment, issue the invoice on the day you receive it.

And if you are exempt from IVA?

With an IVA exemption, an invoice is still required and states the reason for the exemption. You pick the reason from a list and FIZ adds it to the invoice.

Features that save time on every invoice

In the iOS and Android app and on the web.

Invoices from several profiles in one account

Invoice as self-employed and for your company, or for several companies, from one account: just switch profile. Each profile has its own customers, series and AT connection.

Your logo and design

Your logo on every document. On paid plans, choose the colours and layout and issue without the FIZ logo.

PDF in Portuguese and English

Keep your PDF template in both languages and send foreign customers the invoice in English. On paid plans.

Scheduled invoices

FIZ automatically issues invoices for recurring services on your schedule. Available on paid plans.

Partial payments

Record each payment separately: FIZ issues a receipt for each one and shows how much is still to receive.

WhatsApp and API

Issue invoices through WhatsApp or from your own system via the API. Available on paid plans.

FIZ API

Export to SAF‑T (PT) and Excel

Your invoicing data for the period in SAF‑T (PT), the file that accounting software imports, or in Excel (CSV). If you prefer to send your invoices to AT as a file, the same SAF‑T can be uploaded to e‑Fatura.

Printing: A4, 80/58 mm

Choose the format each time you print: A4 to send or file, an 80 or 58 mm roll for a receipt printer.

Email sending with delivery status

See whether the email with the invoice was delivered, opened or bounced, and resend it, also to another address. On paid plans, each customer can have up to 5 email addresses.

Your own series

Create series with your own name, for example one per shop or activity, and pick the series on each invoice. FIZ registers them with the AT. On paid plans.

Importing customers and products

Once AT is connected, FIZ imports from Portal das Finanças the customers on the invoices you have already issued. Customers, products and services can also be imported from a SAF‑T file from your previous software or from an Excel or CSV file.

FIZ suggests the IVA for each service

FIZ suggests the IVA rate for each service or the exemption reason. It considers your activity, the customer (individual or company, country, IVA number in VIES) and the region: Mainland, Azores or Madeira. For goods, you choose the rate. On paid plans.

Don’t wait for the quarter or another software subscription to end: FIZ imports invoices, customers and products from Portal das Finanças, SAF‑T, Excel or CSV and includes the invoices in your declarations.

Frequently asked questions about invoicing

What do I need to issue my first invoice?

Create your FIZ account and connect your profile to AT. FIZ creates the series for your documents and reports each invoice to AT when you issue it or, if you prefer, exports the month’s SAF‑T for you to upload to e‑Fatura.

Which plan includes invoicing?

For companies, every invoicing feature is in FIZ Pro and FIZ Max. For the self-employed, invoicing is free in Base. The paid plans (Auto, Prime, Auto Pro and Prime Pro) add the IVA suggestion for services, transport documents, scheduled invoices, invoicing via WhatsApp, the API, a design without the FIZ logo, the PDF in English, item discounts, your own series and sending to several emails.

Can I use FIZ alongside another invoicing system?

Yes. FIZ invoices have their own series, separate from those of Portal das Finanças or another program, so you can use both at the same time, even before your subscription to the other program ends.

What happens to the invoices I have already issued?

They remain valid and you don’t need to issue them again. FIZ imports them from Portal das Finanças or from the SAF‑T file of your previous software and includes them in your declarations.

How to bring your data into FIZ
How can I work with my accountant?

On paid plans, you can give your accountant access to FIZ with the permissions you choose, and, if you turn this on, FIZ emails them the SAF‑T (PT) every month. On any plan, you can download your invoicing data in SAF‑T (PT) or Excel (CSV).

What is the difference between a fatura, a fatura-recibo and a recibo?

The fatura records the sale; the fatura-recibo records the sale and payment on the spot; the recibo proves payment of a fatura already issued.

Issue an invoice
When can I issue a simplified invoice?

For transactions in Portugal: up to €100 for goods and services, up to €1,000 for retail sales to individuals, and with no limit when exempt from IVA under article 53 of the CIVA.

Simplified invoice
How do I cancel an invoice or correct the amount?

In FIZ, you can cancel it in full within the quarter in which you issued it. After that, or to reduce part of the amount, issue a credit note.

Correct an invoice
How do an estimate and a pro forma differ from the invoice?

They are working documents with an ATCUD and a QR code. The fatura proves the sale, and the recibo or the fatura-recibo proves the payment. Once the customer accepts, issue the invoice from them in FIZ.

Prepare a proposal
Why does my receipt not appear in e‑Fatura?

e‑Fatura shows invoices. A receipt (RG) proves payment of an invoice and is not reported to AT; only receipts under IVA de caixa (RC) are reported.
