How FIZ organises income and expenses

The category sets how much of an expense’s IVA is deductible and which SNC accounts FIZ posts it to. Tags group income and expenses by project, client or branch.

  1. FIZ collects invoices and transactions

FIZ imports invoices from e‑Fatura and transactions from your connected bank and suggests a category for every invoice and every transaction straight away.

How to connect AT and your bank
  2. You add project tags

Group income and expenses by project, cost centre, department or branch. You choose the tag names.

  3. FIZ works out each project’s total

Select one or more tags and a period: FIZ shows the matching income and expenses.

A category for every transaction

FIZ suggests the category, and you can change it or create your own. A few examples:

Service revenue

A customer’s payment for a service you provided.

Advertising and marketing

Ads and promotion of your business.

Transfer between own accounts

FIZ keeps transfers between your own bank accounts apart from income and expenses.

What FIZ does with the category

  • Works out deductible IVA. From the category, FIZ knows what share of an expense’s IVA is deductible and counts it in the IVA declaration.
  • Prepares the accounting entries. Each business category is linked to SNC accounts: expenses or income, IVA, and the customer or supplier. FIZ creates the entry, and your accountant exports it to TOConline, Cegid Business, iziBizi or Sage.
  • Shows where the money goes. FIZ shows income and expenses by category and by project for the period you choose.
  • Knows when a document is missing. If the category needs a supporting document (an invoice or receipt) and the transaction does not have one yet, FIZ shows it in your tasks under “Transactions with no supporting document”. Taxes, Seg. Social and salaries need no document.

Clear categories for you. SNC ledger accounts for your accountant.

Account names follow the SNC, Portugal’s official chart of accounts, so your accountant sees transactions on familiar accounts. Need your own category? Create it from an existing one: FIZ copies its settings and hints, and you confirm the SNC accounts. Your accountant can also set up the entry from scratch, add sub-accounts and switch off the branches of the chart you do not use.

Automatic rules for recurring transactions

Create a rule for bank income or expenses. When the customer or supplier name contains, starts with or equals the text you enter, FIZ does what you chose: renames the transaction, assigns the category, adds tags.

FIZ applies rules to new transactions and, if you wish, to earlier ones too. If several rules match, FIZ applies the first in the list; you can change the order.

Frequently asked questions about categories and projects

How does a tag differ from a category?

A category describes the type of income or expense, such as service revenue or material purchases. A tag brings together transactions of different types: for example, rent, advertising and materials for the Porto branch get the “Porto branch” tag and keep their own categories.

Categories and tags
How can I view income and expenses by tag?

Select the period and one or more tags. FIZ shows income and expenses matching at least one selected tag.

Can I add several tags to a transaction?

Yes, as many as you need: for example, “Kitchen renovation” and “Porto branch”.

Does FIZ organise everything automatically?

Partly. FIZ suggests the category, and you can change it. The project tag is added by you or by a rule you have created.

How rules work
What does the total by tag show?

It shows separately how much you received and how much you paid in the selected period, in the transactions with at least one of the selected tags. It is the money that came in and went out; the project’s accounting profit may differ.

Does an expense’s category count for the IVA deduction?

Yes, if you submit the periodic IVA declaration through FIZ: from the category, FIZ knows what share of the IVA is deductible. The deduction also depends on the invoice carrying your NIF and the expense being for your business.

Does my accountant see the categories?

Yes. An accountant with access to FIZ sees each transaction’s category and tags, and the Excel export includes the category.
